Acceptance of Terms and Conditions
By booking or attending a swimming lesson or class with Gold Fins Swimming Limited, you confirm that you accept and agree to abide by these Terms & Conditions.
Failure to comply may result in the suspension or termination of lessons. In such circumstances, refunds will not be provided.
Gold Fins Swimming Limited accepts no responsibility for loss or damage to personal property while on the premises, including while parking, changing, or moving to and from the pool.
Parents/guardians remain responsible for supervising their children at all times until they are taken into the water by a member of Gold Fins Swimming staff.
Any incident must be reported to Gold Fins Swimming immediately.
Parents/guardians acknowledge that there may be appropriate physical contact between teacher and swimmer in a professional capacity during lessons.

Limitation of Liability
Nothing in these Terms & Conditions shall limit or exclude liability for death or personal injury caused by negligence.
Subject to this, Gold Fins Swimming Limited shall not be liable for any indirect or consequential loss, financial loss, or damage to personal property arising from participation in lessons.

Responsibility
Swimmers must bring their own goggles, swimming caps, and towels to each lesson.
Swimmers should not eat for at least one hour prior to swimming.
Swimmers should arrive swim-ready, as changing rooms are available after lessons only.
Parents/guardians should ensure children use the toilet before lessons, as instructors are unable to pause sessions to escort swimmers.
Long hair must be tied back. Jewellery (including earrings) must not be worn for safety reasons.
Make-up and body lotions must not be worn as they adversely affect water quality.
Appropriate swimwear must be worn at all times in the swimming pool and communal changing areas.
Swimmers should arrive at least five minutes before their lesson. Lessons start promptly and will not be extended for late arrivals.
A quiet and respectful environment must be maintained poolside. Disruptive or unsafe behaviour (including shouting, fighting, diving, running, jumping, or throwing items) may result in removal from lessons without refund.
Parents/guardians must not interrupt lessons unless it is a matter of health and safety.
Spectacles must not be worn in the water. Swimming goggles (including prescription goggles) may be worn at the wearer’s own risk.
Food and alcoholic drinks are strictly prohibited poolside.
Outdoor footwear and buggies are not permitted at poolside.
Parents/guardians must remain onsite while their child is participating in lessons.
All property is left at the owner’s risk.

Lesson Schedule
Gold Fins Swimming operates year-round, with:
• A two-week break at the end of August
• A two-week break at the end of December
This provides a total of 48 teaching weeks per year.

Lesson Prices & Bookings
Class and course dates are published on our website.
Bookings are confirmed once payment has been received or a Direct Debit mandate has been successfully established and the first payment collected.
Existing swimmers are given priority to rebook before spaces are released. Failure to pay by the communicated deadline may result in the release of the space.
Swimmers joining part-way through a month will be charged on a pro-rata basis.
Gold Fins Swimming Limited reserves the right to decline a booking at its discretion.

Direct Debit Payments & Failed Payments
Lesson fees are collected monthly in advance by Direct Debit.
Payments are taken on the 5th of each month for the following month’s lessons (or the next working day where applicable).
A swimmer’s place is secured only once the first Direct Debit payment has been successfully collected.

Failed or Cancelled Payments
A £5 administration charge applies to failed GoCardless payments (e.g. insufficient funds).
A £10 administration charge applies where a Direct Debit mandate is cancelled without notice.
If payment is not resolved within five working days, lessons may be suspended and the swimmer’s place released.

Non-Payment
Gold Fins Swimming reserves the right to suspend lessons and release a swimmer’s place if any outstanding balance remains unpaid after the stated payment deadline.
Any arrears and applicable administration charges will remain due and payable.

Operational Changes
Gold Fins Swimming reserves the right to make reasonable changes to teachers, lesson times, class ratios, venues, or teaching arrangements where necessary for operational, safety, or business requirements.
Where possible, notice will be given in advance.

Cancelling Lessons
To cancel ongoing lessons, a minimum of four weeks’ written notice is required by emailing goldfinsswimming@gmail.com.
Direct Debit payments will continue to be collected during the notice period.
Verbal notice, WhatsApp messages, or messages given to teachers will not be accepted as formal notice.
Gold Fins Swimming does not offer temporary freezes or suspensions of ongoing lessons, including for holidays, extended travel or other personal circumstances. To retain a regular class place, monthly payments must continue.
Once the notice period has ended, the swimmer’s regular place will be released. Should the swimmer subsequently wish to return, rejoining will be subject to availability and the applicable rejoining fee.

Refunds
No refunds will be issued once payment has been collected, including where lessons are missed due to holidays, sickness, or other personal circumstances.
Lesson fees are non-transferable and cannot be credited to future months outside of the make-up policy.
This no-refund policy also applies in circumstances beyond the control of Gold Fins Swimming Limited, including (but not limited to) government restrictions, adverse weather, technical failures, or health and safety incidents.
Where Gold Fins Swimming cancels a lesson, a make-up session (subject to availability) or account credit will be offered.
Cash refunds will not be provided.

Make-Up Lessons
Swimmers are entitled to up to four make-up sessions per swim year (January–December), subject to availability.
Parents/guardians must provide at least 24 hours’ notice by completing the make-up request form available on our website (or by emailing goldfinsswimming@gmail.com where necessary).
Make-up sessions are subject to availability and cannot be guaranteed.
Failure to attend a scheduled make-up session will result in forfeiture of that session.
If Gold Fins Swimming offers up to three alternative dates for a specific make-up session and the swimmer is unable to attend any of the offered dates, that individual make-up session will be forfeited. This does not affect the swimmer’s remaining annual make-up allowance.
Make-up sessions:
• Have no cash value
• Are non-transferable
• Cannot be exchanged for refunds or credits
• Expire at the end of the swim year (January–December)
Make-up sessions must be requested in advance and cannot be backdated.
All outstanding make-up sessions are forfeited if a swimmer leaves Gold Fins Swimming. If a swimmer re-joins, previous make-up sessions will not be reinstated.
Gold Fins Swimming reserves the right to restrict or decline the use of make-up sessions during a notice period.

Lesson Changes
If an instructor is unavailable, Gold Fins Swimming Limited may provide a replacement instructor without prior notice.
Lessons may be cancelled at short notice due to operational reasons, including pool-related health and safety incidents.
Clients will be notified via SMS or email where possible.
Where Gold Fins Swimming cancels a lesson, a make-up session or credit will be offered.
Refunds will not be provided.

Class Allocation and Progression
Gold Fins Swimming reserves the right to move a swimmer to another class, level, teacher, or time slot where this is considered appropriate for the swimmer’s ability, progression, safety, or for operational reasons.
We will always aim to give as much notice as reasonably possible.

Trial Lessons
Gold Fins Swimming may offer trial lessons, subject to availability.
Each swimmer is entitled to one trial session only.
To secure a trial session, payment is required in advance. This payment will be deducted from the first month’s fees if the swimmer proceeds with registration.
A trial lesson does not guarantee a permanent place.
If a place is offered following the trial, registration and Direct Debit setup must be completed promptly to secure the swimmer’s space.
Trial payments are non-refundable if the swimmer chooses not to proceed after the session.
Gold Fins Swimming reserves the right to withdraw or decline a trial booking at its discretion.

Registration Fee & Rejoining Fees
A £10 registration fee applies to all new swimmers.
Swimmers who cancel their ongoing lessons and subsequently wish to return to Gold Fins Swimming will be subject to a £40 rejoining fee.
Rejoining is subject to availability. The swimmer’s previous class, day, time, teacher or lesson arrangement cannot be guaranteed once their place has been released.
The rejoining fee must be paid before a new place can be confirmed.

Medical Conditions & Illness
All relevant medical and behavioural conditions must be disclosed prior to attendance.
Gold Fins Swimming Limited reserves the right to refuse participation where deemed necessary for safety.
Swimmers must not attend lessons if unwell or suffering from infectious conditions.
In cases of sickness or diarrhoea, swimmers must be symptom-free for at least 48 hours before returning.

Data Protection
Gold Fins Swimming Limited processes personal data in accordance with the UK GDPR and the Data Protection Act 2018.
Personal data is collected only for lesson administration, safety, safeguarding, and payment processing purposes.

Photography & Videography
Photography or video recording is not permitted poolside unless authorised by Gold Fins Swimming.
Gold Fins Swimming reserves the right to use official photographs or videos for promotional purposes unless written opt-out is received from a parent or guardian.

Safeguarding
Gold Fins Swimming Limited is committed to safeguarding and promoting the welfare of children and vulnerable adults.
We operate in accordance with our Safeguarding Policy, available on our website.
Gold Fins Swimming reserves the right to suspend or terminate lessons where safeguarding concerns arise.

Changes to Terms & Conditions
Gold Fins Swimming Limited reserves the right to amend these Terms & Conditions at any time.
Any significant updates will be communicated via email or published on our website.
Continued participation in lessons constitutes acceptance of the updated Terms & Conditions.

Referral Program & Promotional Offers
Referral rewards and promotional discounts are subject to the specific terms outlined at the time of the offer and apply in addition to these general Terms & Conditions.

September 2026 Intake Promotional Offer
The September Intake Offer provides one free lesson for eligible new swimmers joining a regular weekly class. This is applied as a 25% discount against the swimmer’s first monthly lesson payment.
The offer applies to new swimmers only and is subject to availability. It does not apply to registration fees, goggles, merchandise, one-off lessons, temporary bookings, trial-only bookings, make-up lessons, or ad hoc lessons.
To keep the free lesson offer, the swimmer must remain enrolled for at least 2 months from their start date.
Swimmers may cancel lessons at any time by giving 4 weeks’ written notice in line with our standard cancellation policy. However, if lessons are cancelled before the swimmer has completed 2 months of enrolment, the free lesson offer will be void and the cost of the free lesson will become payable.
The promotional discount is limited to one offer per swimmer, has no cash value, is not transferable, and cannot be refunded or exchanged for credit.
The offer cannot be used in conjunction with any other promotional offer unless agreed by Gold Fins Swimming in writing.
A swimmer’s place is only confirmed once the initial invoice has been paid and the Direct Debit mandate has been completed.
Gold Fins Swimming reserves the right to amend, withdraw, or refuse a promotional offer where it believes the offer is being misused or where the eligibility criteria have not been met.

Referral Programme
Gold Fins Swimming offers a referral programme as a thank you for recommending our lessons to others.

Existing swimmers/their parents or guardians may refer new swimmers to Gold Fins Swimming.

The referred swimmer must complete the booking form and include the referrer’s name at the time of registration.

Referrals apply to new families only and do not apply to siblings or additional swimmers from the same household.
A free lesson will be awarded to the referrer once:

The referred swimmer has successfully enrolled in ongoing lessons; and
-
The referred swimmer has completed at least one full monthly Direct Debit payment.
There is no limit to the number of referrals a swimmer may make.
Free referral lessons:

Will be scheduled by Gold Fins Swimming and offered on a suitable date and time.

Are subject to availability and cannot be guaranteed at a specific time.

Must be used within 3 months of being awarded.

If Gold Fins Swimming offers up to three suitable dates/times and the swimmer is unable to attend any of them, the free lesson will be forfeited.

Are non-transferable and have no cash value.
Gold Fins Swimming reserves the right to withdraw or amend the referral programme at any time.
